Take appointments , send reminders , get confirmations — without making a single call.
Customers pick an open slot themselves. A WhatsApp reminder goes out before the appointment; when they reply “Coming”, “Cancel” or “Another time”, your calendar updates on its own. You just focus on the customer in front of you.
No-shows shouldn't quietly slip away
The reminder goes out automatically, and the customer's reply is applied to the calendar automatically. No one has to call around one by one.
It goes out via WhatsApp the amount of time before the appointment that you choose; if WhatsApp fails, by email. You can say “no reminder” for a single appointment. Sending is done under your business name and from your own number.
“I'm coming” confirms, “Cancel it” frees up the time slot, “Another time” lists the times that suit the customer and moves the appointment to the chosen one. Every reply lands as a notification for your team.
If you like, an approval message also goes out for a new appointment and a change message for a move. The change message waits 5 minutes: if you have taken the move back, the customer doesn't get a message for nothing.
For every send: sent, delivered, read or not delivered. A message that doesn't arrive is retried once over the backup channel.
Write your text; the variables are converted to Meta format and submitted for approval in the “Notification” category. If it contains promotional wording, you're warned before Meta rejects it.
A calendar that keeps up with you
Add by keyboard, move by dragging, undo mistakes. Just as easy at the desk as on your phone.
Press E and type “tomorrow 14:30 Ayşe Yılmaz 45min”. The date, time, duration and customer are parsed out; if you leave out the time, the first open slot is suggested.
Search appointments (name, phone, service), type “Friday 14:00” to jump to that day, switch rooms, change the view. Press “?” to see the shortcuts.
Drag an appointment and drop it; no confirmation dialog. If the slot is taken, the system asks. Made a mistake? ⌘Z puts it back where it was.
Requests from your appointment page or chatbot wait on the calendar with a dashed outline. Approve or decline them in one click.
Agenda, day, week and month views; open slots between appointments are visible, and tapping one opens an appointment at that time. Long-press to call, message or change status.
When a customer asks “Are you available tomorrow?”, they don’t disappear
Customers asking for an appointment, rescheduling or saying they’ll be late don’t get lost in the message pile; they wait in line right next to your calendar.
Read the message, book the appointment in one click
- “Create appointment” in the Message Center: a button appears next to the message requesting an appointment; the date and time are read from the message (“at 3” → 15:00), and the message is added to the note.
- “Appointment suggestions” in the calendar: appointment requests awaiting a reply, cancellations, reschedules and late-arrival messages; “Book appointment” or “move to suggested time”.
- Those due for a check-in: the usual visit interval of a customer who has come at least 3 times is calculated; those past due are listed with a ready message draft.
- No-show risk: when a customer’s tone turns negative after an appointment, a confirmation message is suggested.
Message tags come from AI analysis; in accounts where AI analysis is turned off, the rules layer in the Message Center still catches messages requesting an appointment. The check-in due calculation does not require AI.
Plan all 6 sessions in one form
Laser, skin care, physiotherapy, diet tracking… For services sold as packages, entering sessions one by one is both a waste of time and a source of errors.
Planned, checked and tracked in order
- 2 to 60 sessions, at day, week or month intervals; the package name and session dates in a single form.
- Conflict check: all session dates are checked for duplicate appointments and team member conflicts before they are created.
- “Session 3/6” everywhere: in the calendar, on the appointment detail, on the customer card and in search.
- Link it to a deal: connect the package to a sales deal; payments stay on the same customer card.
24/7 bookings in three steps
Let appointment requests come in while you sleep, and end the “when are you free” phone calls.
1Enter your hours
Working hours, breaks, holidays, rooms and services. Available slots are calculated from these and from booked appointments.
2Share the link

3Confirm the request
The request appears on your calendar as a dashed line and a customer card opens. Confirm it in one click; if confirmation messages are on, the customer gets the message automatically.
What does the appointment book forget?
A book and a phone record an appointment; they don't remind, confirm, or refill an open slot.

How are appointment reminders sent? Is it SMS?
Reminders go out from your connected WhatsApp number; if WhatsApp can’t deliver and the customer’s email is on file, the reminder is sent by email instead. No SMS is used. You choose how far in advance the reminder goes from settings; you can also say “No reminder” for a single appointment. The status of every send (sent, delivered, read, failed) appears in the “Recent sends” list in settings.
What happens when a customer replies to a reminder?
The message has “Coming”, “Cancel” and “Another time” buttons. Coming confirms the appointment; Cancel frees up the slot; Another time lists that same team member’s available slots for the customer, and the appointment moves to the chosen slot automatically. Customers can also say “Call me”. Every reply comes to your team as a notification. The buttons work on the official WhatsApp line (Cloud API / Coexistence); on a personal line connected by QR code, the reminder goes out as plain text.
If the customer hasn’t written in 24 hours, will the WhatsApp message still go out?
On the official WhatsApp line, Meta only allows messages to a customer you haven’t chatted with in the last 24 hours if they use an approved template. Your reminder, confirmation and change texts are submitted to Meta for approval in the “Utility” category with one click from settings; approval status is tracked automatically. Text that contains promotional wording is flagged in the system before Meta rejects it. No template is required on a line connected by QR code.
How do customers book online?
You share the link to your own booking page in your Instagram bio, on WhatsApp or on your website. The customer picks a room and a service, marks one of the available slots — calculated only from your business hours, breaks and booked slots — and fills out the form. The request lands on your calendar as a dashed block; approve or decline it with one click.
How do I create session (package) appointments?
In the new appointment form, turn on the package option and choose the number of sessions (2–60) and the repeat interval (days, weeks or months). The system plans all session dates, checks for duplicate appointments and team member conflicts, and creates them all at once. Each session shows in order — like “3/6. session” — on the calendar, in the appointment details, on the customer record and in search.
Does it work with Google Calendar and Apple iCloud?
Yes. Google Calendar sync works both ways: an appointment in the CRM appears in the team member's Google Calendar, and changes in Google Calendar flow back into the CRM. Apple users can connect their iCloud calendars. Each team member connects their own account.
Can I add the appointment page to my website?
Yes. You can link to it as a button on your site or embed the page with an iframe. The page uses your own logo and banner image, and no other businesses' ads appear.
Can I set up multiple team members and rooms?
Yes. Each room or treatment area gets its own calendar, and each team member gets their own color; you can filter the calendar by team member and status. Appointments move by drag and drop; if the time slot is taken, the system asks first, and you can undo a wrong move in one click. You can name appointment statuses to fit your business.
Are appointments linked to customer records?
Yes. Every appointment is tied to the customer record; past appointments, payments, debt information and WhatsApp/Instagram conversations all sit on the same record. You can link an appointment to a deal to connect it to your sales process.
