From Hollywood Smile to implant treatments, this Istanbul clinic works with international patients, mainly from the UK. How did it bring multilingual inquiry traffic and the treatment journey into one panel?
2B Dental Clinic is a dental clinic in Istanbul, and a significant share of its patient base comes from the UK. It offers Hollywood Smile, implant, veneer and orthodontic treatments as a package that includes airport transfer and accommodation arrangements. Patient communication runs in English, Turkish, German and Arabic.
In dental tourism, winning patients comes down to fast, clear answers: a patient writing from London asks three clinics for prices the same evening. As the clinic grew, three things got harder:
Language and channel variety. Inquiries from WhatsApp, Instagram and the web form, in four different languages, ended up scattered across the phones of different coordinators. Quote tracking. In the assessment process that starts with a panoramic X-ray, which plan was sent to which patient and who was waiting for a reply got lost between email and messages. Travel-treatment sync. Getting the flight, hotel and clinic appointment onto the same calendar took constant phone calls.
Inquiries from all channels come together in one panel; incoming messages are understood through automatic translation, and replies go out with ready-made templates in the patient’s language. Each patient’s card is tagged with the language and source they came from.
After the X-ray review, the treatment plan is sent as a PDF quote in GBP/EUR; in the pipeline you can track whether the quote was sent, approved or revised. Quotes awaiting a response show up in the overdue tasks view.
For patients whose treatment date is confirmed, task cards are created covering transfers, accommodation and clinic appointments; appointments sync with Google Calendar. Post-treatment follow-up communication and care instructions continue from the patient card with templates in the patient’s language.
Request traffic in four languages moved from coordinators’ phones to a single company-wide panel.
No quotes are left awaiting a response; quote statuses are now visible in the pipeline.
Flight–hotel–appointment coordination can now be tracked at a glance on the task board.
Post-treatment follow-up runs in the patient’s language and is fully documented.
