What does course tracking software bring together in one panel?
Everything a course center does: messages from prospects, trial lessons and level assessments, online pre-enrollment applications, student and parent records, programs and classes, lesson schedules, enrollment fees, discounts and installments, attendance, homework, exams, documents, the parent portal and reports. The institution, instructors and parents all work from the same record; each person sees only what their permissions allow.
How are group lessons added to the calendar, and what happens during holidays?
You enter the program, instructor, classroom, weekly days and times; before saving, a preview shows how many lessons will be created and which days will be skipped for holidays. Lessons for the next 60 days (the period is adjustable) are added to the calendar, and the window moves forward each day. Public holidays are read from the Human Resources list, and semester and mid-term breaks from your institution's holiday list. In a class that ends after a set number of lessons, a lesson that falls on a holiday or is canceled is added at the end; in a class with an end date, no lesson is held on that day.
Does it warn me if two lessons are booked for the same instructor or classroom?
Yes. Before saving, it shows warnings for an instructor who already has another lesson at the same time, a full classroom or vehicle, the student's other lesson, the instructor's CRM appointment (if the instructor is linked to a team member) and a holiday. You set the buffer minutes between lessons in the settings. The same check runs when you drag and move a lesson in the weekly schedule; a lesson whose attendance has been taken cannot be moved.
How are enrollment fees, discounts and installments calculated?
The list price comes from the program or from a class-specific fee; the total fee can be a one-time amount or a monthly fee. Sibling (if the family has another active enrollment), early enrollment (before the deadline), upfront payment (single installment) and renewal discounts are selected automatically when the conditions are met; scholarship, corporate and extra discounts are your choice. Percentages are added to the list price; if a discount marked “does not combine with others” is selected, only the largest non-combinable discount remains. VAT is calculated at the rate on the service card the program is linked to. The payment plan is split evenly, and if you like, installments can be due on a fixed day of the month. The enrollment opens as a deal in the CRM; payments are collected from the deal's payment form. If your institution has an approval flow, discounts over the limit go for approval.
What happens to an enrollment if the class is full?
If the class is at capacity, the enrollment joins the waiting list in order and no deal is opened. When a spot opens in the class, a task is created; with “Take from waiting list” you move the student to pre-enrollment. The “a spot has opened” message for the family arrives as a ready-made draft.
How do one-to-one lesson packages work?
For example, a 12-lesson piano package: lesson allowance, lesson length, package validity period and a fixed weekly time. Each lesson is an appointment with the instructor in the calendar; when the appointment is marked “completed” or “no-show”, one lesson is deducted from the package. For a late cancellation requested by the student (by default less than 24 hours before), a lesson is deducted; for a cancellation caused by the institution, the lesson is refunded and a new lesson is added at the end of the plan, and a manager's decision can reverse this. A task opens when the allowance is about to run out or the package is about to expire. If your appointment reminders are on, one-on-one lessons use them.
Do instructors need a CRM account?
No. The instructor signs in to the instructor panel from the browser on their phone with a phone number and password; the admin generates the password from the instructor card, it is shown once, and the invitation message comes ready for WhatsApp. The panel does not use a CRM seat, and once added to the home screen it opens like an app. Instructors see only their own lessons; they enter attendance, the topic covered, homework and exam results for their own groups. Whether they also see their own earnings is a setting. If the phone is lost, one tap signs it out of all devices.
What happens to attendance if there is no internet in the classroom?
The instructor panel opens even without a connection; the lesson list stays on the phone as it was last seen. Attendance saved without a connection is queued on the phone and sent once the connection returns. Entering exam results requires a connection; the panel says so clearly.
Are automatic messages sent to families for absences?
No, the module does not message parents on its own. When a student misses the number of consecutive lessons you set (2 by default), an alert and a task open the moment attendance is saved; the WhatsApp message for the parent opens in the Message Center as a ready draft, and you review and send it. Late installments, finished packages and a spot opening on the waiting list become tasks and drafts in the same way. Students whose attendance rate falls below your threshold (80% by default) are also listed separately.
What is in the parent portal?
You give parents a single link that requires no sign-in; all the students in the family are on the same page: the next 14 days of lessons, attendance percentage, recent attendance records, homework, exam results and evaluations you publish in the portal, the progress report, valid documents, installments, payment links you created in the panel if the setting is on, and announcements. Parents report days the student cannot attend as excused absences; once the institution approves them, those lessons count as excused and do not lower the attendance percentage. You set how long the link lasts; you can renew or close it at any time.
Do we have to enter mock exam results one by one?
No. You create the exam from a template (TYT, AYT Numerical, AYT Equal Weight and LGS templates come ready; the section, number of questions and wrong-answer coefficient are in the template). You paste the optical reader or Excel export: each row has the student number or name, followed by the number of correct and wrong answers per section in order. The preview shows rows that do not match. The score is correct answers minus wrong answers divided by the coefficient; average, median, section averages and ranking are calculated, and the student's exams combine in a progress chart. You publish the results in the parent portal or send them to each family as a WhatsApp draft.
Can we issue certificates and student documents?
Yes: student certificates, attendance certificates, certificates, enrollment contracts, class attendance sheets, weekly lesson schedules and student progress reports. Each document gets a number and a QR code; anyone who scans the QR code sees which institution issued the document and on what date. A certificate is issued when enrollment is complete and the program's attendance requirement is met; an admin can also issue one outside the requirement by writing a reason. The QR code of a reissued or voided document says “not valid.” The institution's title, license number, director and stamp are printed from settings.
Which education institutions is it suitable for?
Course centers, tutoring and study centers, exam preparation, language schools, private lessons and coaching, music, art and dance workshops, software and vocational courses, driving schools. Sections specific to your field (mock exam scores, level and term placement, one-on-one lesson packages, driving school, external exam tracking) open automatically based on your industry selection or the data you enter; you can always turn each one on or off in Settings.
