In pest control, from contract to visit, from field to document, from document to payment collection.
Pest control software: recurring contracts, automatic visit planning, technician mobile panel, biocidal Application Form, station tracking, customer portal and payment collection in one panel.
A restaurant's monthly maintenance, a hotel's annual contract and a homeowner saying “I saw a bug in the kitchen” all in one panel. You enter the contract once and visits are written to the calendar automatically. The technician fills out the form on their phone and gets it signed by the customer; the document comes out with a QR code, and the product used is deducted from stock.
- ContractLocation × service × frequency
- CalendarEvery visit is an appointment
- FieldProduct, station, signature
- DocumentNumbered, with QR
- InventoryApplied quantity is deducted
- Payment collectionInstallments and on-site payment
From first message to contract renewal, every step in one record
Office, technician and accounting all look at the same customer: what was done at which location, which product was used, what was collected.
“We saw insects in the kitchen, can you come today?”
- Unified inbox: WhatsApp, Instagram, Messenger, Telegram, TikTok and web chat; your team replies from the same inbox.
- Request record: you enter a complaint that comes by phone or message into Requests; ones from the customer portal drop in automatically. Urgency: normal, urgent, critical.
- Warranty check: if a location has a visit still under warranty, the request opens under warranty; the visit is scheduled free of charge.
- Convert to visit: the request turns into a visit in one click; how long it has waited is shown on the request.
Enter the contract once
- Locations: a customer’s central kitchen, warehouse and branch are separate; facility type, m², audit standard (HACCP, BRCGS, IFS, AIB, ISO 22000), floor plan, access note.
- Line items: location × service × frequency; preferred day and time. You can see how many visits a period will generate before saving.
- Billing: flat monthly fee, per visit or prepaid; automatic renewal and renewal alert.
- From quote: when a recurring service deal is approved, the contract draft opens automatically.
Visits are written to the calendar automatically
- Rolling horizon: visits for the next 60 days appear in the calendar as appointments (duration adjustable); the rest are added each day.
- Technician × day: drag a card to another day or technician; in day view in 15-minute steps.
- Warnings before saving: conflict with the same technician, travel time between visits, daily capacity. “Find a free slot” suggests a suitable time.
- Move the whole day: rain, breakdown, leave; the day’s planned visits move to another day, with times fitted into that day’s openings.
The technician fills out the form on their phone
- Own dashboard: no CRM account needed, just a phone number and password; only their own jobs. One tap for directions and calling the customer.
- Application: product, quantity, method, target pest, area; the service product recipe loads in one click.
- Station: scan the QR on the label; activity, bait consumption, catch count, station status.
- Findings, photos, signature: findings with corrective recommendations; the customer signs on screen with a finger. If there is no connection, records wait on the phone.
The document is ready as the visit ends
- Application record form: permit, responsible manager, applicator certificate, product license, active ingredient, antidote, quantity, signatures and stamp.
- QR verification: anyone who scans the QR sees that the document is valid; if the visit is reopened, the document shows as “invalid.”
- Other documents: service certificate, station inspection report, period / audit file.
- Sending: “Send the report via WhatsApp” opens a message with the document link as a draft in the message center.
Payment collection in the deal, renewal on the calendar
- Payment plan: the contract amount is written into the deal's installments; payments collected through the payment form are applied to installments in order.
- On-site collection: the technician reports the payment they collect; once the office approves it, it is recorded in the deal's payments.
- Renewal: a task opens the number of days before the end date that you set; for automatic renewal, a draft is prepared with the same line items.
- Payment in the portal: the payment links you create in the dashboard appear in the customer's portal.
One visit, from the road to the document
You be the technician: head out, apply the recipe, scan the station, get the customer's signature. The office dashboard and the Application Record Form fill in at the same time.
See what is happening at each station on the site map
Food facilities, hotels, warehouses: stations are tied to locations, and every check is logged. When a threshold is exceeded, a finding and a task open automatically.
Upload a site map image for the location, add the stations by number and click their positions on the map. Rodent bait station, live-catch trap, glue monitor, pheromone trap, EFK / light trap; indoor, outdoor or perimeter line.
A QR label is printed for each station; bait stations carry the warning “Poisonous bait — do not touch.” When the technician scans the label, the station opens; if anyone else scans it, they see that it is a monitoring station and your company's contact details.
Activity (none, low, medium, high), bait consumption, number caught, station status (intact, damaged, missing, moved, replaced), whether bait was refreshed. For stations with no issues, “All others fine” is one tap.
You set the consumption alarm threshold and the number of consecutive activity readings. When the threshold is exceeded, a finding opens for the station and, with a corrective recommendation, drops into the “Pest control” task board; it also appears in the document and on the customer portal.
Activity trend for the last 6 months at the location; the station check report and period file are ready to hand to an auditor. For a company with residential customers only, station screens stay hidden and appear with the first commercial location.
No paper forms, no retyping at the office in the evening
Technicians see and close their jobs on their own phone. The office sees it at the same time; you don't create a CRM account for the technician.
A manager opens the panel from the Team screen and generates a password; the password is shown once, and the invite message comes ready in WhatsApp. The technician adds the panel to their home screen and uses it like an app. It doesn't use a CRM seat; they only see the jobs assigned to them.
The job card has the address, directions, call customer, visit note and safety instructions. On the way, Started, Could not complete (with reason). The status shows up in the office list and on the calendar appointment.
With no connection, the app queues application, station, finding, photo and payment collection records on the phone and sends them once the connection is back; the same record is never written twice. A connection is required to complete the visit.
The technician reports the amount and method (cash, card, bank transfer). The office approves from the "Field payments awaiting approval" list; the payment is recorded in the deal's payments. Whether the technician can see the visit fee is a setting.
If the setting is on, location is taken at the start and end of the visit; the technician is not tracked continuously. The panel is available in 9 languages; technicians choose their own language.
No scrambling through folders on audit day
Every completed visit generates a numbered document. The details come from settings, team and product cards; nothing is retyped by hand.
What's on the form?
- Company: name, address, application permit no and date, issuing authority, responsible manager, stamp.
- Applicators: name and applicator certificate number; registered signature.
- Products: license no, active ingredient and concentration, antidote, quantity, method, application area, lot no.
- Safety: re-entry interval, safety instructions, 114 UZEM for poisoning.
- Result: station check summary, findings and recommendations, customer signature (with reason if it could not be obtained).
- Verification: document number and QR; if the visit is reopened, the document appears invalid.
“Can you send the reports for the last six months?”
Let the quality manager open the documents themselves. You give the customer a link that requires no sign-in, and you set how long it stays valid.
What do they see in the link?
- Visits: the next visit, upcoming visits, completed applications and the document for each one.
- Station summary: active stations per location and the activity rate for the last 90 days.
- Open findings: corrective recommendations under your responsibility or the customer’s.
- Pending payments: payment links you created in the dashboard.
- Complaint / emergency request: a form if the setting is on; it lands in your Requests list, and a free visit is scheduled if it is covered by the warranty.
- Period file: prints the annual file for audits (HACCP, BRC, etc.).
Keep licenses, certificates and calibration on track
Biosidal products and the team are set up once; when expiry dates approach, a task opens for the person responsible.
Stock updates automatically
- Biosidal product record: license no. and expiry, product type (PT14, PT18…), formulation, active ingredient, antidote, re-entry interval, recommended dose, safety data sheet (MSDS).
- Automatic consumption: when a visit is completed, the applied amount is deducted from the technician’s vehicle stock or from the warehouse you select; if the visit is reopened, it is returned.
- Alerts: critical stock, products nearing license expiry; a warning appears when a product past its license expiry is added to a form.
- Automatic tasks: 30 days before license and applicator certificate expiry, 14 days before equipment calibration; for visits running 1–7 days late.

Keep the plan out of the notebook, the form off paper and the report out of a folder
A single missed periodic visit can put your customer in a difficult position during an audit. A missing form can do the same to you.

Frequently asked questions
Have another question? Write to us and let's look at your contract and field workflow together.
What does pest control software bring together in one panel?
A pest control company's entire operation: customer messages and complaint requests, customer locations (central kitchen, warehouse, branch), periodic contracts, visit plan and calendar, the service form the technician fills out on site, station checks, the Biocide Product Application Form and other documents, biocide product stock, deals, installments and payment collection. Office, technician, customer and manager all work from the same record; everyone sees only what their permissions allow.
How are visits from a periodic contract added to the calendar?
You enter the contract once with location × service × frequency items: for example, pest control every month at the central kitchen, station checks every two weeks at the warehouse; you also pick the preferred day and time. When you start the contract, visits for the next 60 days (the period is adjustable) are added to the calendar as appointments, and the rest are added automatically each day. Every visit is an appointment on the calendar; when you drag a visit to another day or technician on the Plan screen, the appointment moves with it.
What information does the service form include?
The Biocide Product Application Form is issued under the Regulation on the Application Procedures and Principles of Biocidal Products: company name and address, application permit number and date, responsible manager, certificate numbers of the applicators, the site of application, target pest, license number of the products used, active ingredient, antidote, quantity, method and area of application, station check summary, findings, safety measures, customer and applicator signatures, responsible manager signature and stamp. Companies operating abroad can choose a general service report format in settings.
What is the QR code on the document for?
When the visit is completed, the document is given a number (like UIF-2026-00001) and a verification link; the QR code opens this link. When an inspector or customer scans the QR code, they see which company issued the document and on what date. If the visit is reopened for correction, the same link says the document is currently invalid, so an old printout does not circulate as a valid document.
Do technicians need a CRM account?
No. The technician logs into the technician panel from the browser on their phone with a phone number and password; the manager generates the password on the Team screen. The panel does not use a CRM seat and can be added to the home screen and used like an app. The technician only sees the jobs assigned to them: today, tomorrow, 7 days and overdue. Whether they see the visit price is set in settings.
What happens if there is no internet in the basement or warehouse?
The technician panel opens even without a connection. Application, station check, finding, photo and payment collection records are queued on the phone and sent automatically once the connection returns; the same record is never written twice. Completing a visit (document number and stock usage) requires a connection; the panel states this clearly.
How are stations and traps tracked?
Stations such as rodent bait stations, live catch traps, glue monitors, pheromone traps and EFK / light traps are added to the location, their positions are marked on a floor plan image, and QR labels are printed. The technician scans the label and enters activity, bait consumption, number caught and station status (intact, damaged, missing…). If the consumption threshold is exceeded or activity repeats, a finding opens automatically and lands on the task board; the trend for the last 6 months at the location is visible. For a company with only residential customers, the station screens stay hidden.
Are the products used deducted from stock?
Yes, if the setting is on, the applied amount is deducted from stock when the visit is completed: from the technician's vehicle stock or from the warehouse you choose. If the visit is reopened for correction, the deducted amount is returned to the warehouse; when it is completed again it is not deducted a second time. If the application unit does not match the stock unit, the product is skipped and the product that could not be deducted is shown. Biocide products are defined with license number, license expiry, product type (PT14, PT18…), active ingredient, antidote and safety data sheet.
How do customers access their documents and visit plan?
You create a portal link that requires no login for the customer. On this link the customer sees upcoming visits, completed treatments and their documents, a pest station monitoring summary and open findings; and prints the period file for inspection. Payment links you create in the panel appear under “Pending payments.” If the setting is on, the customer reports a complaint or urgent request through the portal; the report lands in the Requests list. You set how long the link stays valid and you can cancel it at any time.
How are contract value, installments and on-site payment collection tracked?
Price, installments and payment collection are kept on the deal record in the CRM; a contract is linked to a deal, or a deal is created from a contract. The monthly fee is entered into the payment plan as an installment, the payment is taken through the payment form and applied to installments in order; an overdue installment shows on the contract. If a technician collects payment at the door, they report it from the panel; once the office approves the collection, it is written to the deal's payments — if it is rejected, it is not recorded.
How do I track license, certificate and calibration expiry?
A task is opened for the responsible person 30 days before the biocidal product license and the technician's applicator certificate expire, and 14 days before equipment calibration. Anyone trying to add a product with an expired license to the form sees a warning. A renewal task opens the number of days you set before the contract ends; if automatic renewal is on, a new draft is prepared with the same items and prices for you to review and start. Visits that are scheduled but not completed within 1-7 days also become tasks.
Are automatic messages sent to the customer?
Because every visit is an appointment on the calendar, visit reminders go out with your appointment reminders if they are turned on; the template, time and channel are managed in the appointment notification settings. Messages with documents, the portal link and visit information open as ready drafts in the message center; you review them before sending. The module does not send bulk messages to customers on its own.
The CRM tools the pest control module is built on
The module does not create a new data silo; it works on top of your customer, appointment, deal and payment records.
