Team Dashboard · Sales team management

Manage your sales team without waiting for month-end, with numbers and coaching.

The Team Dashboard shows each rep’s target, pace and where they get stuck, all on one screen. Team leads see who is falling behind before the month ends, redistribute records piling up within the team, and prepare a 1:1 with a coaching tip. Leads see numbers only; customer records stay with the rep.

Monitor

Who is where, and where will they be at month-end?

Without waiting for the weekly meeting: each rep’s pace against target, scorecard and deal status are calculated from the records already entered in the CRM.

Each rep gets a monthly sales amount, number of sales, new customer and call target. The dashboard shows where things should stand by today and the “at this pace, month-end” forecast, and says how much is needed each day for the remaining days to reach the target. Public holidays and each person’s approved leave are deducted from the working-day count.

Score, sales, conversion, first contact, message response, SLA, calls, overdue follow-ups, portfolio, last 1:1 and an 8-week trend sit on the same row. Below are the team average and company average; ▲▼ arrows show change against the previous period.

The effort and results matrix sorts reps into four groups: those who work hard but close little get skills coaching; those who work little and close little get a conversation about effort and capacity. The same “behind target” status can mean two different 1:1s.

A daily heat map of call records: phone, WhatsApp, email, in-person and video, day by day. Off-hours and public holidays are marked separately, so you can see at a glance who went quiet on which day.

A deal health score for each person’s open deals, and for the risky ones; if AI analysis is on, also hot deals awaiting contact. “Why did we lose?” counts the reasons for records lost in the period: price, competitor, unreachable, timing and other.

Manage

Alerts come through, and action is one click away

The dashboard doesn’t just show the problem: from the same screen, you start a 1:1 with someone who is behind and redistribute the records piling up.

One line per person, most critical at the top: someone behind target, not touching their new records, with follow-ups piling up, response times slipping, an overdue coaching action, or a due 1:1. Next to the row, “Plan 1:1” and “Redistribute”.

Select records with overdue follow-ups, no contact, or no activity for a set number of days; move them to the least loaded rep, balanced, or to a person you choose. A preview comes first, and record names aren’t shown. Won, lost and records with an open quote are not moved.

Based on the person’s scorecard, a rule-based tip appears: too much effort and too few results point to objections and closing; slow first contact points to a first-hour habit; a growing follow-up backlog means a time block. “Start a 1:1 on these topics” fills in the form: notes, the summary for the rep and dated actions in one record.

Actions appear on the rep’s own dashboard in the “My coaching actions” card, turning red once overdue; the rep marks them done when finished. The lead’s Coaching plan panel shows who they’ll have 1:1s with and when, plus the team’s open actions.

The numbers at the moment the 1:1 is logged are saved. At the next meeting, “at the 1:1” and “now” sit side by side: you see whether what you discussed worked, with numbers instead of guesses.

Team Lead role

Manages the team, doesn’t enter customer records

  • Between staff and admins: a Team Lead keeps selling with their own records and sees their team’s performance on the Team Dashboard.
  • Numbers only: the dashboard shows counts, rates, times and amounts; no customer names, phone numbers or messages. The AI briefing and the CSV file also contain no customer information.
  • Own team: a lead sees only the teams they lead, enters targets for this month and later, and redistributes within their own team.
  • One team, one lead: each team has one lead, and a rep is on only one team at a time; their history is kept when they move.
One month

From the start to the end of the month, what does a Team Lead do?

The Team Dashboard sits on top of the sales process: it counts requests, calls, quotes and deals the way the CRM handles them.

01 · Start of month

Set targets

For each rep: sales amount, number of sales, new customers and calls. Copy last month’s figures or split the team total evenly; if the sales amount is blank, the target from the commission plan is used.

02 · Every day

Requests go to reps

New requests reach reps through the distribution rules of Lead & CRM. As calls and quotes and deals are handled in the CRM, the scorecard updates on its own.

03 · Every morning

Team alert

On weekday mornings, if there is a warning, it appears in the lead’s panel: who is behind, whose uncontacted records are piling up, and who is due for a 1:1.

04 · During the week

Take action

From the Focus list, log a 1:1 with someone who is behind and redistribute the records piling up. Once a week, last week’s team scorecard arrives.

05 · Month-end

Closing

In the “Last month” view, see whether the month closed on target and the results person by person. Copy last month’s targets into the new month and edit them.

For the business owner

Above the lead’s view: all teams and today’s scorecard

If you have several teams, you see all of them on the same dashboard; staff who aren’t on a team appear on a separate row.

Who is working, who has gone quiet?

  • Today’s scorecard: each rep’s calls today (compared with the same time yesterday and the 7-day average), overdue and planned follow-ups today, active time in the CRM and last login.
  • Not logged in for a long time: people whose accounts are active but who haven’t logged in for the number of days you choose (3–30, default 7) are flagged with their open leads and overdue follow-ups. People on leave aren’t flagged.
  • Reassign leads: with preview, balanced by current workload; overdue follow-ups go first, and records in the lost stage aren’t moved. Every transfer is logged in the lead history and the audit log.
  • Lead notifications: the owner or an admin turns them on with one click; leads get the morning team alert and the weekly scorecard in their panel.
  • AI briefing: a short assessment from the numbers for the selected period; no customer data is sent.
How to get started

Your team on the dashboard in three steps

You don’t need a separate performance tool or to move numbers into a table.

1Set up the team

On the Teams tab of the team screen, name the team, choose the lead and add the reps. The lead sees the dashboard the next time they log in.

2Enter targets

A monthly target for each rep; copy last month’s figures or split the team total evenly.

3Turn on notifications

With “Turn on lead notifications”, leads start getting the morning team alert and the weekly scorecard in their panel.

Why

How do you do it today?

In most sales teams, targets live in an Excel file, “how are the numbers?” is asked in a WhatsApp group, and coaching happens in the weekly meeting. None of them sees the others.

The numbers come from the records the team already works with

The Team Dashboard works on top of your lead, call, message, quote and deal records. You don’t need to ask reps for a separate report; the scorecard updates as work is done in the CRM.

Details

Details that measure the team fairly

Pace in working days

The forecast uses working days, not calendar days: public holidays and approved leave are deducted, so a rep on leave isn’t unfairly shown as behind.

Comparison with the previous period

This month is compared with the same day range of last month; each figure gets ▲▼ and a percentage change.

Team and company average

Two lines below the scorecard: the team’s average and the company-wide average. Teams can also be read against each other.

Score 0–100

A scorecard summary built from first contact and message SLA, contact rate, conversion, overdue follow-ups and note quality. It is not a game score, but a sign of where to look.

Funnel and load balance

The share of records that came in during the period and reached each stage; for each person, open portfolio, overdue follow-ups and uncontacted new leads.

Compare

Put two reps side by side; see who leads on each figure in one table, numbers only.

Four periods

This month, last month, this week and the last 30 days. For a past month, the dashboard says whether the month closed on target.

Worth recognising

A ready list for positive feedback: people who hit their target, the top seller of the period, the fastest responder and those who clearly increased their calls.

Download CSV

Download the scorecard for Excel; the file contains only numbers and rep names.

Refreshes itself

While the dashboard is open, it updates every 5 minutes; if a window or form is open, it waits, so what you’re typing isn’t lost.

Recent redistributions

Each redistribution is listed with who moved it to whom and how many records; moved records appear on the new rep’s list.

FAQ

Frequently asked questions

Have another question? Contact us, and let’s look at your team’s structure together.

Who can see the Team Dashboard?

Business owners and admins see all teams and team members who are not on any team. A Team Lead sees only the teams they lead. Sales reps don’t see the dashboard; on their own dashboard they see only the coaching actions assigned to them. The Team Dashboard menu item appears once a team has been set up in the business, or when there are at least two active sales reps.

Can a Team Lead see customer records?

On the dashboard, no: a Team Lead sees numbers only (counts, rates, times and amounts). Customer names, phone numbers and messages don’t appear on the dashboard, and no customer information goes into the AI briefing or the CSV file. A lead keeps working with their own records and, when it comes to record access, is treated like a sales rep. The link to open a rep’s records is visible only to people who have permission to see all records.

How is the Team Lead role assigned?

You set up teams from the Teams tab on the team screen: team name, department, color, lead and members. When you pick someone with the Staff role as lead, you’re asked to confirm “Make Team Lead”; people with the Viewer and Doctor roles can’t be leads. A sales rep can be on only one team at a time. The new role applies the next time the person logs in.

How are targets entered, and who can change them?

For each sales rep, four monthly targets are entered: sales amount, number of sales, new customers and calls. In the target window you can copy last month’s targets, or split a team total evenly among the reps. If the sales amount target is left blank, the monthly target from the commission plan is used. Team leads enter targets for this month and later months; only admins can change targets for past months.

How is the “at this pace, month-end” forecast calculated?

Sales achieved so far is divided by the number of working days elapsed, then multiplied by the total working days in the month. Working-day counts take into account regular workdays, public holidays and each person’s approved leave, so a rep on leave isn’t unfairly shown as behind. If the forecast reaches the target, the status is On track; if it falls between 85% and 100% of the target, it is At risk; if it is lower, it is Behind. In the first days of the month, the forecast shows “Early” instead.

Which records does redistribution move?

You choose: records with overdue follow-ups, records that came in during the last 7 days and were never touched, records with no follow-up date, or records not touched for a set number of days. The records of one person or of the whole team are moved, either balanced to the least loaded rep or to a person you choose. You see a preview first, and records are moved once you confirm. Won and lost records, and records with an open quote, are not moved. No records are assigned to inactive people, viewers or anyone on leave that day. The preview is valid for 15 minutes, and up to 10 redistributions can be made per hour.

Can reps see 1:1 records?

Partly. The 1:1 form has two separate fields: Notes are visible only to leads and admins; the Summary for the rep and actions appear on the rep’s own dashboard in the “My coaching actions” card. The rep marks an action as done when they finish it. Only the lead who logged it, or admins, can change the 1:1 record.

Does AI write the coaching suggestions?

No. Coaching suggestions are rule-based: a rep’s scorecard is compared with the team average (effort and conversion, first contact and response time, overdue follow-ups, records with no contact, note quality), and an agenda is suggested accordingly. If AI is turned on for deal analysis, extra suggestions such as a hot deal, a clear next step and a loss reason appear with a ✦ mark. The AI briefing is separate: it writes a short assessment from the numbers for the selected period, sends no customer information, and is generated a limited number of times per day.

How do lead notifications work?

The owner or an admin turns them on with one click from the dashboard: “Turn on lead notifications”. Team leads get a team alert on weekday mornings, only when there is a warning, and once a week they get last week’s team scorecard (by default on Monday morning). When a rep receives records in a redistribution, they get a summary notification. Notifications appear in the panel; channels and times are changed under Settings › Notifications.

What happens to the records of a rep who hasn’t logged in for a long time?

The Today’s scorecard on the team screen flags people whose accounts are active but who haven’t logged in for the number of days you choose (3 to 30 days, default 7), showing their open leads and overdue follow-ups. People on leave aren’t flagged. With “Reassign leads”, you preview and reassign records to one or more people, balanced by their current workload. Overdue follow-ups are reassigned first, and records in the lost stage are not moved. You can also reassign customers you have already sold to, so after-sale follow-up isn’t left without an owner. Every transfer is logged in the lead history and the audit log.

Do I need a separate module for the Team Dashboard?

No. The Team Dashboard and the Team Lead role are part of ÖzgürKod CRM. They draw on the same lead, call, quote and deal records. You start using them once you’ve set up your team and entered targets. For user limits on each plan, see the pricing page.
