The same old challenges in YKS prep

When mock results live in a spreadsheet, attendance on paper and installments in a notebook, every answer for a parent takes a phone call.

Mock exam results live in a spreadsheet

The optical reader output sits in a file, and net scores and rankings are calculated by hand. A student’s progress from one mock exam to the next stays in the counselor’s folder.

Every parent asks for their own result

After every mock exam, the “how many net did they score, what was their rank” messages arrive all day long, and each one means looking up the spreadsheet.

Absences noticed too late

Attendance stays on paper; a student who misses class several times in a row is only noticed when their mock exam score drops.

The class schedule is rebuilt every week

Weekend and weekday groups, one teacher’s classes at two branches, days that fall on holidays — all shifted by hand in a spreadsheet.

Installments live in a spreadsheet

Sibling and early enrollment discounts are calculated by hand, installments live in a separate spreadsheet, and late payments only surface at the end of the month.

Parents who ask about enrollment fall through the cracks

People who ask about enrollment in summer get information and the conversation ends there; who showed up for the introductory meeting is written in a notebook.

With the “Mock exams & net score tracking” section of the Education Institution module, from enrollment to YKS day.

  • Schedule the introductory meeting or trial lesson with the family asking about enrollment as a candidate record; convert a lead to an enrolled student in one click and let online pre-enrollment applications land in the panel
  • Create exams from the TYT, AYT Quantitative and AYT Equal Weight templates; paste the optical reader or Excel output and see unmatched rows in the preview
  • Net score, average, median, section averages and class ranking are calculated automatically; all of a student’s mock exams come together in one progress chart
  • Publish the result in the parent portal or prepare a WhatsApp message with the net score and ranking as a draft for each family; sending stays in your hands
  • Define the term fee or monthly tuition; sibling, early enrollment and prepayment discounts apply when the conditions are met, and the installment plan is added to the deal
  • Teachers take attendance from their phone; a task opens after repeated absences, and the student’s YKS date and result stay on their record

Don't track everything yourself; let it tell you what matters

It reads messages, surfaces who is waiting for a reply and what's at risk, and starts your day with a summary.

Know who to get back to first

  • Message analysis: urgency, satisfaction, buying intent and risk; complaints and urgent requests are separated.
  • Awaiting reply: unanswered conversations and messages requesting an appointment in one list.
  • Today's tasks: a short morning summary showing who you need to follow up with that day.
  • Ask a question: type questions like “How many new student came in this month?” and get answers from your data.

AI features run on accounts with AI analysis turned on; when it's off, messages, appointments and follow-ups run on rules.

Selection guide

What should you look for when choosing a CRM for University prep?

Before you decide, evaluate your candidates against these 5 criteria.

5 criteria

  1. Practice test net scores. The optical reader or Excel output should be enterable by pasting; net scores, ranking and section averages should not be calculated by hand.
  2. Student progress. All of a student’s mock exams should be viewable in one chart; no one should have to dig through folders during a counseling meeting.
  3. Visibility for parents. A parent should be able to see the result, attendance and installment from a single link without remembering a password.
  4. Class schedule & attendance. Weekday and weekend groups should be added to the calendar automatically; attendance should be taken from the teacher’s phone.
  5. Enrollment, discounts and installments in one place. Sibling, early enrollment and prepayment discounts should be calculated at enrollment; the payment plan and payment collection should sit on the same screen.

University prep program, software or CRM?

Most business owners search for the solution they need as “University prep program,” “University prep software,” “University prep appointment software” or “University prep customer management software.” “CRM” is the international name for this solution, and the need is the same: keep student information in one place, never miss a request, and bring order to your work.

As a University prep automation, ÖzgürKod gathers student messages from WhatsApp, Instagram and the web in one panel and handles appointment and payment collection tracking on the same screen. We also cover industry-independent selection criteria in our CRM software selection guide.

What does the university prep course program track?

Messages from families and students, the introductory meeting and trial lesson, online pre-registration applications, student and family records, groups and class schedules, enrollment fees, discounts and installments, attendance and homework, TYT and AYT mock exams, YKS records, the parent portal and documents. All of it comes together on the same student card in the Education Institution module of ÖzgürKod CRM.

Do we have to enter mock exam results one by one?

No. You open the exam from the TYT, AYT Quantitative or AYT Equal Weight template; the sections, question counts and wrong-answer penalty (4 wrong answers cancel 1 correct) are ready in the template, and you can also define your own template. You paste the optical reader or Excel output: each row holds the student number or name, followed by the correct and wrong counts in section order. The preview shows rows that do not match. There is no direct connection to an optical reader device; you paste its output.

How are net scores and rankings calculated?

Each section's net score is found by subtracting the number of wrong answers divided by the penalty coefficient from the number of correct answers; the total net is the sum of the section nets. For the exam, participation, average, median, highest and lowest results and section averages are calculated, and students are ranked by total net. All of a student's mock exams come together in a progress chart. This is not an exam score or ranking estimate; it is the result of the institution's own mock exams.

How do we share results with parents?

There are two ways. If you set the exam to “publish in the portal”, the result and progress chart appear in the parent portal; the parent views them from their own link without logging in. Or, for each family, a WhatsApp message containing the student's result and class ranking is prepared as a draft; you review it and send it. The module never sends messages on its own.

Can instructors enter results?

Yes. Instructors log in to the instructor panel on their phone with their phone number and password; no CRM account is needed. They see only their own lessons, take attendance, enter exam results for their own groups and write student evaluations. An internet connection is required to enter exam results; attendance is queued on the phone even without a connection.

How are enrollment fees, discounts and installments calculated?

The list price comes from the program or a group-specific fee; it can be a total fee or a monthly tuition. The sibling (another active enrollment in the family), early enrollment and prepayment discounts are selected automatically when the conditions are met; you select the scholarship and corporate discounts. VAT (KDV) is calculated at the rate on the service card, the payment plan is split into equal installments, and the enrollment opens as a deal; if the group is full, the student goes on the waiting list.

Does it submit YKS applications or make university choices?

No. There is no connection to ÖSYM systems. You enter the student's YKS date and result in their record for the institution's own tracking; if the result has not been entered 3 days before the exam, a task is created.

University prep software and CRM the same thing? Which one is ÖzgürKod?

In practice they describe the same need. Businesses usually search for "University prep software", "University prep software", "University prep appointment software“ or “customer management software”; “CRM” is this solution is the international name. ÖzgürKod delivers all of these names on one platform: student communication, appointments, quotes and orders, payment collection and reporting are all in one place. So whatever term you search with, the solution you reach is the same; you don’t need to set up separate software.
