WhatsApp CRM

Your WhatsApp now has a memory: every message on the customer card

“What did we last talk about with this customer?” becomes a thing of the past. All your WhatsApp conversations are linked to the customer record; who wrote, who followed up, what was promised — whoever holds the phone, the information stays with the company.

Choose the path that fits your business

Not limited to WhatsApp

One inbox carries 6 channels at once: WhatsApp (Cloud + QR), Instagram DM, Facebook Messenger, Telegram and live chat on your website. Whichever channel a customer writes from, the conversation collects in the same customer record.

  • Agent assignment: assign a conversation to a person; with “own messages only” permission, everyone sees only their own book of business
  • Integrated customer card: segment, tags, appointments and payment history right next to the chat
  • Segment sidebar: filter conversations by lead status and custom groups
  • 24-hour window tracking: if the window has closed, the panel alerts you and you reach out again with a template

AI layer

AI doesn’t just write replies — it understands the conversation

Two separate layers work together: one talks to the customer, the other reads every conversation for you.

Chatbot: flow builder

Drag and connect greeting, Q&A and routing steps in the visual flow builder. It branches by keyword, hands the conversation over to your team when it can’t resolve something, and the relevant agent gets an instant notification. You can turn it on and off separately for each channel.

Conversation analysis

AI summarizes every conversation, extracts the sentiment and intent (“asking about price”, “close to buying”, “complaining”) and produces a handoff-to-human score from 0 to 100. When you look at the panel in the morning, you know which 5 conversations to prioritize — along with a suggested reply.

Smart silence

The chatbot pauses for 24 hours for customers you have sent a bulk campaign to: your team, not a robot, greets the customer who comes back from your campaign. No bot-human clashes.

In-depth guide

What is WhatsApp CRM and what does it bring your business?

WhatsApp CRM is a system that brings all of your business’s customer communication on WhatsApp together in a single customer relationship management screen. Every incoming message is linked to the relevant customer card; your sales, support and marketing teams see the same history. At a time when customers prefer to write instead of call, keeping these conversations in corporate memory rather than on scattered phones has a direct impact on sales and customer satisfaction.

3 ways to connect WhatsApp to your CRM

ÖzgürKod lets you connect WhatsApp to your CRM in three different ways, and you can use these methods together in the same account. Cloud API is Meta’s official business infrastructure; it is ideal for enterprise uses that require approved template messages, bulk campaigns and high sending volume. Coexistence connects your number to the API without detaching it from the WhatsApp Business app on your phone; up to 6 months of chat history is transferred to the panel, and messages you send from the phone appear in the CRM instantly. The QR code method lets you get started in minutes by scanning the QR code, with no approval process — it is the most practical route for one-to-one messaging and quick testing.

AI-powered WhatsApp automation

The biggest benefit of WhatsApp CRM is automation. With the visual chatbot builder, you answer frequently asked questions 24/7, route customers to the right department and, when needed, hand the conversation over to an agent. The AI layer summarizes every conversation and extracts the customer’s intent (asking about price, close to buying, complaining) and sentiment so your team can see at a glance which conversation to prioritize. You send bulk messages and broadcast campaigns with approved templates and benefit from WhatsApp’s high open rates.

Which industries is it for?

WhatsApp CRM is suitable for e-commerce, healthcare and clinics, real estate, educational institutions, tourism and all service businesses with an appointment or quote process. From order tracking to appointment reminders, from sending quotes to after-sales support, it brings every process that runs with the customer over WhatsApp into a single panel and increases your team’s efficiency.

Why ÖzgürKod WhatsApp CRM?

ÖzgürKod does not treat WhatsApp as a standalone channel. It brings WhatsApp together with Instagram, Messenger, Telegram, TikTok and web chat in one unified inbox. Your data is stored in an isolated database that belongs only to you, and because you use your own API key for AI analysis, your quota and your privacy stay under your control. With unlimited numbers, unlimited team members and flexible permissions, you grow on the same dashboard from a small team to an enterprise setup.

Frequently asked questions

Frequently asked questions

Do I have to delete the Business app?

No. With Coexistence, your number works on your phone and in the CRM at the same time. Messages you send from your phone appear on the dashboard instantly, and up to 6 months of chat history is transferred when you connect. Your team sees the full history without needing the phone.

Should I choose QR or Cloud API?

If one-to-one messaging is your main use, start with QR in 5 minutes. If you need bulk campaigns, approved templates and button messages, Cloud API is the right path. And you don't have to decide: you can use both with different numbers on the same dashboard.

How many messages can I send per day?

First, let's separate two cases: there is no limit on the replies you send to customers who message you. If a customer messaged you in the last 24 hours, you can chat as much as you like during that window. A daily limit applies only to messages you start (campaigns or notifications sent with a template), and it counts not the number of messages but the number of different people you reach in 24 hours — chatting with the same customer repeatedly does not affect the limit.

On Cloud API, new numbers start with 250 different people in 24 hours. As your number's quality rating stays good and your business verification is completed, the tier rises automatically: 1,000 → 10,000 → 100,000 → unlimited. So the limit is not fixed; it grows with your sending volume. (Since October 2025, this quota applies jointly to all numbers in your Meta Business account, not to a single number.)

With the QR method, Meta has no official tier; the connection is subject to WhatsApp's spam protection, so it is comfortable for one-to-one messaging but not suitable for high-volume bulk or cold sending. That is why we recommend doing bulk messaging through the official Cloud API or Coexistence.

Will my team see all conversations?

You decide. Managers see everything; a sales rep granted the “own messages only” permission sees only the conversations of customers assigned to them. Conversations are assigned to sales reps and linked to the customer record.

Do QR connections drop?

QR sessions run on a load-balanced pool of servers. If one server is busy, a new connection is routed automatically to the most suitable server, and if a connection drops, the session restarts itself. Connection health is monitored from the dashboard.

What do I need for AI analysis?

You add your own Gemini API key — your data stays in your own isolated database, and your analysis quota stays under your control. You set the daily analysis limit and can turn off automatic analysis at any time.

Can I start with QR and switch to Cloud API later?

Yes. Many businesses start quickly with QR, then move to Cloud API or Coexistence from the same dashboard when message volume and the need for approved templates grow. Your customer records, tags and conversation history stay in place even if the method changes; you just connect your number to the new method.

How does pricing work for Cloud API and Coexistence?

With these two methods, Meta's message fees apply on top of the ÖzgürKod platform fee. Since July 2025, Meta has moved from a conversation-based model to a message-based model, meaning the fee is now calculated per template message you send instead of per 24-hour window.

The fee depends on the message category: service and reply messages you send to your customer within the 24-hour window are free. Marketing, utility and authentication templates are charged per send — marketing is the highest, while utility and authentication are lower and vary by country. The first 72 hours with a customer who comes from a click-to-WhatsApp ad or a page button are also free.

With the QR method, there is no message fee paid to Meta; only the ÖzgürKod platform fee applies.

Where are my data and customer information stored?

Each business's data is kept in its own isolated database; your conversations and customer records are not mixed with other companies in a shared pool. Because you use your own API key for AI analysis, your content is not processed in a third party's shared pool — you stay in control.
